The Institute of Making is a unique organisation that explores the wonder of materials and the

made world through a wide range of activities. Our areas of work include: providing a Makespace

with a team of technicians; producing popular hands-on event programmes for UCL staff,

students and the public; maintaining a celebrated Materials Library, and leading ground-breaking

academic research projects.

Through all of the above, the Institute of Making ensures a creative home for all those who would

like to collaborate, innovate, contemplate and understand making – creating a space for truly

imaginative and unexpected projects. The Institute of Making is physically based within the UCL

Faculty of Engineering, but works across all disciplines and subject matters, and with every

imaginable type of maker, including artists, engineers, chemists, linguists, technologists,

archaeologists, designers, social scientists and architects.

This post is funded until December 2021 in the first instance.

Main purpose of the job

The Events Assistant will support the Events Manager to deliver creative and inspiring events,

talks and activities that celebrate materials and making for a wide-ranging audience of UCL

students, staff and the public, including young people, community organisations and families.

The Events Assistant will provide administrative support and assistance at events themselves, as

well as assisting with pre- and post-event organisation and admin. For the moment, all events are

taking place online, but they may return to the Institute of Making workshop later on in 2021, if

and when it is safe to do so.

Duties and responsibilities

The post-holder will be part of the Institute of Making team, assisting in three areas of work. In

this role you will:

Public-facing services:

 Act as initial point of contact for all event enquiries (in person, by telephone or by email): deal

with these quickly, thoroughly and with politeness and courtesy, where necessary consulting

with your manager.

 Give technical support with online event technologies such as Zoom, Microsoft Teams etc.

 Work with Events Manager to draft social media post text and prepare images.

Events administration

 Upload new events listings onto the website.

 Update and maintain the Institute of Making calendars.

 Manage participant lists and registration processes for events through online events.

management systems (e.g. Eventbrite and Institute of Making’s member booking system)

 Undertake finance admin such as processing purchase orders, invoices and expenses, and

setting up new suppliers.

 Source and order materials and equipment for events.

 Put together postal resource kits for participants, event slides, and any other event resources

needed.

 Take notes at events meetings.

 Maintain event photography archive and events log.

Organisational tasks

 Assist in communicating with deliverers and service providers.

 Work closely with the Institute of Making team to ensure that events are well coordinated and

well communicated.

 Update staff on the events happening on a weekly basis and make suggestions for staff

attendance based on interest and current projects.

 Assist with research for events, including identifying contacts and themes, and testing making

processes for events.

Other duties

 The post may require occasional evening or weekend working hours.

 Take UCL Finance training and UCL Health & Safety training on starting the role.

 Continue to develop skills and knowledge in events work practices, policies and procedures.
