FTE and working pattern:  Full-time Monday – Friday 09.00 – 17.00 with the requirement to work out-of-hours to host events.

About our School/Directorate and Team: ICMS supports research in the mathematical sciences. Its core activity is the development and organisation of international workshops and conferences in all areas of mathematics and these attract leading mathematical scientists from the UK and abroad. These activities take place face-to-face at ICMS in Edinburgh or other venues and also online or in hybrid format. `ICMS is based in central Edinburgh at The Bayes Centre 47 Potterrow.

Purpose of Role  As a key member of the administrative teams within the International Centre for Mathematical Sciences (ICMS) the Communications & Engagement Manager will support our vision through the creation, implementation and management of effective communication strategies and plans.

This is an exciting opportunity for a creative and innovative communication professional who is looking to develop their career in a science communication setting. ICMS is an exciting environment undergoing a transformation as a result of significant additional funding. This additional funding allows us to be innovative and inventive with our communication and engagement activities. This is a new full-time post, and we are looking for someone with enthusiasm, passion and a willingness to challenge and create new ideas to come and work with us. 

Summary of Key Duties and Responsibilities:   

  •  Create and implement effective communication strategies for  ICMS. These should serve to consolidate and extend the excellent reputations of ICMS and should support the exploitation of new opportunities. These strategies will be multi-faceted, will use all appropriate media channels, and will include plans for the dissemination of up-to-date and relevant information to customers, stakeholders and key partners.
  • Support the growth and development of ICMS through the identification and progression of specific opportunities for conferences, events and other activities that bring different groups together. Monitor success of activities and identify and implement 
  • Support the effective operation of ICMS through the creation and implementation of tools for event publicity and event management, including communication calendars, newsletters and targeted emails to participants and prospective participants. Oversee and maintain the associated database of contacts. Maintaining the ICMS brand toolkits, ensuring brand compliance, and coordinating formatting and design of materials.  
  • Maintain and develop the webpages, mailing lists and social media presences for ICMS, ensuring a rich stream of engaging and dynamic content. This will include influencing and guiding the design of webpages and marketing materials, and the planning and implementation of any significant changes. The post-holder will write engaging material themselves, edit the work of others, and potentially commission pieces (e.g. blogs and videos). 
  • Manage and deliver the ICMS programme of public engagement events, both those associate with workshops and the stand-alone activities, such as involvement in the Edinburgh International Science Festival and Maths Week Scotland.
  • Education, Qualifications & Experience:

Essential

  1. Educated to first degree level or equivalent (see link for details) or equivalent practical experience in the workplace in a communications or marketing-related role 
  2. Experience of working within a similar environment as outlined above
  3. Competent in the use of relevant IT packages, including database management.
  4. Proven relevant experience of design and delivery of a communications strategy which will have been acquired over a number of years, with a basic understanding of the relevant theory.
  5. Up-to-date experience of web management, content management systems and other digital media platforms.
  6. Proven visual, written and verbal communication skills, including the ability to write in a range of voices and styles for varied projects and diverse audiences and in a range of media.
  7. Experience of event planning and management.
  8. Excellent interpersonal, influencing and presentation skills, able to understand and communicate complex issues effectively
  9. Demonstrable excellent customer service 
  10. Demonstrable ability to work quickly, flexibly and accurately in a dynamic, changing and pressured environment
  11. Experience of working closely with stakeholders across all levels of the organisation 
  12. Ability to research, analyse and present complex information effectively with good attention to detail
  13. High level organisational skills with the ability to prioritise major developments and to function effectively in a pressured environment
  14. Demonstrable professional and proactive approach
  15. Ability to work effectively both independently and as part of a team.

Desirable

  1. Degree in specific subject (if applicable)
  2. Professional Qualification or membership of Professional body (where applicable) 
  3. Experience of working in Higher Education or an associated research body
  4. Ability to manage budgets
  5. Knowledge of GDPR requirements, particularly in relation to communications, marketing and media activities
  6. Experience in using social media
